I searched for this topic ( I thought Skydog had this problem once) and couldn't find it. So - I go here.

I have an old machine I am retiring. In the outlook I have about 5000 emails saved, that I need to keep. What are the steps in exporting all those saved emails and then importing them into my new machine which also houses Outlook?

Thanks in advance all geniuses.

You should have one (or more) files with a .PST extension on your machine. These files hold your email. Copy the .PST files to your new machine. If you also have your address book in Outlook, also copy any .PAB files.

One the new machine, if you go into Control Panel, then Mail, you should see the mail profile. Click on the Properties button, then you should see a button for Add. Click on it, and add the .PST files that you copied over.

A possible gotcha on this is if all of your mail is on a MS Exchange server. If that is the case, all you will have to do is configure your settings on the new machine to point to the Exchange server.

Do a search and find your .pst file - that's where all your emails, contacts, etc.. are stored. That's the file that needs transferred to the new pc.

I would create a folder on your new pc c:\mail or something like that. Paste the .pst file into that folder and then after you setup Outlook on the new pc, go into the options and point to that .pst file.

* The default path for your .pst file is usually c:\documents and settings\your.name\local settings\application data\microsoft\outlook

* An option here is to copy your old pst file onto your new pc's desktop - configure Outlook on your new pc and then choose File -> import and export from your outlook toolbar. Navigate out to the old .pst file and it will import that one into the new one.
